An AI assistant behind your machine manual

Scan the QR code and get the right answer within ten seconds, with the page number. Only from your own documentation, in the technician's language, and with a service request when the manual is not enough.

Your service desk answers questions that are in the manual

A technician at a customer's site calls at 16:45 about a torque value, an error code or the order of a maintenance step. The answer is on page 42, but nobody searches a two-hundred-page PDF on a phone. So they call, and your service desk looks it up. Ten times a day.

Export customers have the same questions in German, Polish or English. And from 2027 the Machinery Regulation expects a digital manual behind a QR code on the machine. That manual can be more than a PDF.

How it works

No app, no login. A QR code on the machine opens the page of exactly that model.

  1. 1

    Scan the QR code

On the type plate or the cabinet. The code carries the model and, if you want, the serial number.

  2. 2

    The model's page

With that model's manuals to download and print, and the assistant that only searches those documents.

  3. 3

    Answer with source

Every answer points to the page and section of your manual. One tap opens the PDF at that page.

  4. 4

    Service request

If the manual does not solve it, the assistant files a service request with model, serial number, error code and contact details.

"What torque do I use for the return-filter cover?"

"Tighten the four bolts crosswise to 25 Nm, in the order of fig. 7-6 [1]. Switch the press off and depressurise the system first [2]." — Source: FM-200 manual, p. 43, §7.4 · View page

Machinery Regulation 2027: the digital manual

Regulation (EU) 2023/1230 applies from 20 January 2027 and allows instructions to be supplied digitally, provided the user can download and print them and they stay available for the machine's lifetime. The machine carries a reference, for example a QR code.

NuovaBot does not replace your manual and is not legal advice: the manufacturer's manual stays leading and downloadable on the same page. What we add is that the manual becomes searchable in plain language, with a source reference per answer.

Safety and reliability

  • Answers only from your documents. If it is not in there, the assistant says so and refers to your service desk — it never invents values or part numbers.
  • Always with a source: page number and section, with a link to the PDF. The technician can check every answer; the manual stays leading.
  • Safety questions are referred. Questions about bypassing guards, emergency stops, electrical work or pressurised systems get no procedure but a referral to a qualified technician.
  • Measured before go-live: we run a question set from your manual and deliver a report. Target: at least 85% correct with the right source and 100% correct referrals.

Animated instructions

On request

For frequently asked actions — changing a filter, tightening bolts in the right order — we let the assistant show a short animation at the step the question is about. Animations are produced in advance from your CAD models and approved by you; the assistant only picks from approved animations and never generates anything itself.

Trust

  • GDPR: database and API in the EU (Supabase in Ireland, Webdock in Denmark), files at Cloudflare, and AI processing by Anthropic and OpenAI in the USA under EU Standard Contractual Clauses — no training on your data. The data processing agreement and the full sub-processor list are on the site.
  • EU AI Act: the assistant always identifies itself as AI, every answer is marked and verifiable, and we are the provider — not you.
  • Your documents stay yours. Manuals are public only when you switch that on per document; internal service documentation stays internal.
  • A Dutch company with a Chamber of Commerce (KvK) number, one point of contact, and onboarding done by us: you send the manuals, we build the bot.

Frequently asked questions

Does this replace our manual?▾

No. Your manual stays the leading document and sits on the same page as a PDF, downloadable and printable. The assistant makes it searchable and points to the page with every answer. Under every answer it says: always check the manual; when in doubt, contact the service department.

Does it work for our export customers?▾

Yes. The technician asks in their own language and gets the answer in that language, with a reference to your (Dutch or English) manual. You do not need a translated manual to start.

How sure are we that the answers are right?▾

The assistant answers only from your documents and names the source. Before go-live we run a question set from your manual and deliver a report with the percentage of correct answers and referrals. Tables with error codes and part numbers get extra care.

What do we need to supply and how fast is it live?▾

One or more manuals as PDF, a list of machine models and an email address for service requests. A first demo on one manual is ready within a week; you download the QR codes per model from the dashboard yourself.

What does it cost?▾

One-off onboarding from €1,250 and a monthly fee from €99, depending on the number of machine families and questions per month. A 3-month pilot costs €750 and is credited against the onboarding. Prices exclude VAT; see the pricing page.
